Sue Chapman Tuition is an independent 11+ exam preparation business based in Warwickshire, operating across six local venues. We are the Data Controller for all personal data collected through this website and in connection with our services.

2. What Information We Collect

We collect and hold the following categories of personal information about parents, guardians and pupils:

Personal identifiers and contact details

  • Parent/guardian names, home address, telephone number and email address
  • Child’s name and date of birth
  • Emergency contact details

Medical and welfare information

  • Allergies, dietary requirements and medication needs
  • Any relevant health or medical information provided by parents to keep your child safe during lessons

Assessment and attainment data

  • Individual assessment scores and progress records
  • Teacher observations and feedback notes

Financial information

  • Invoicing and payment records held in our accountancy system (Xero)

 

3. Why We Collect It

We collect and use this information for the following purposes:

  • To deliver 11+ tuition lessons and monitor your child’s progress
  • To report on pupil attainment and provide feedback to parents
  • To keep children safe during lessons — including responding appropriately to medical needs and emergencies
  • To communicate with parents about lessons, assessments and the 11+ process
  • To send invoices and manage payment records
  • To assess and improve the quality of our services

 

4. Our Lawful Basis for Processing

Under UK GDPR, we rely on the following lawful bases for processing your personal data:

  • Consent — you have freely given consent for your information to be processed for a specific purpose — booking your child into lessons.
  • Contract — processing is necessary for the fulfilment of preparing your child for the 11+ examination, including invoicing and necessary lesson and examination information after you have booked your child into lessons.
  • Legal obligation — in certain circumstances we are required by law to process personal data — for example, in relation to safeguarding.
  • Legitimate interests — we process assessment and progress data to monitor and improve the quality of our teaching, balanced against your interests as a data subject.

 

5. How We Collect Information

We collect personal information in the following ways:

  • Via registration forms completed by parents at the start of lessons
  • Through email enquiries and correspondence
  • Via telephone calls and text messages
  • Through assessment records completed by our teaching staff during and after lessons

 

6. How We Store Your Data

We take the security of your personal data seriously. Your information is held securely in the following ways:

  • Digital records are stored on password-protected devices and in Google Drive, accessible only to authorised members of our team
  • Paper registration forms and registers are stored securely when not in use and never left unattended at venues
  • Financial records are held in Xero, a secure cloud-based accountancy system
  • Parent email communications are managed through Mailchimp, a secure email platform

 

We hold your data only for as long as it is needed. As a general guide:

  • Contact and registration details — retained for the duration of your child’s lessons plus one academic year
  • Assessment records — retained for two academic years after your child’s lessons end
  • Financial records — retained for seven years in line with HMRC requirements
  • Medical information — retained only for the duration of your child’s attendance

7. Who Has Access to Your Information

Access to personal data is strictly limited to authorised members of the Sue Chapman Tuition team who need it to carry out their role. This includes Sue Chapman (Director), Eddie Ikin-Chapman (Business Operations Manager), and teaching staff — who have access only to the information relevant to the pupils they teach.

Individual assessment results and feedback are shared with each parent only in relation to their own child. No pupil’s data is shared with other parents.

 

8. Sharing Your Information

We do not share your personal data with any external organisation for commercial purposes. We do not sell your data.

We use the following trusted third-party services to help us run our business. Each processes data only on our instructions and in accordance with UK GDPR:

  • Google Drive — secure cloud storage for business and pupil records
  • Mailchimp — used to send group emails to parents (newsletters and lesson updates)
  • Xero — online accountancy system for invoicing and financial records

We will only share your personal data with third parties outside of the above where we are required to do so by law — for example, in connection with a safeguarding referral.

 

9. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data and your child’s data:

  • Right to access — request a copy of the information we hold about you or your child.
  • Right to rectification — ask us to correct any inaccurate or incomplete information.
  • Right to erasure — ask us to delete your data where there is no legitimate reason to continue holding it.
  • Right to restrict processing — ask us to limit how we use your information.
  • Right to object — object to our use of your data in certain circumstances.
  • Right to withdraw consent — where we rely on consent, withdraw it at any time.
